Customer online stores

Online stores let you share a public link so your client’s buyers can pick products (sizes and colors from your invoice lines), see the design, and submit their details. Submissions roll up on that same order so you can produce and get paid.

Ideal when:

  • A school, team, or family runs a fundraiser or reunion shirt sale
  • A client wants employees or members to order from a fixed catalog
  • You need self-serve size and contact collection before you lock production

How it works (big picture)

  1. You build a normal order with invoice lines (products, sizes, colors, prices) and artwork.
  2. On that order, open the Online Store tab and turn the store On.
  3. You get a public link to share with buyers.
  4. Buyers open the link, choose items, fill in contact fields, and check out (pickup or shipping).
  5. Submissions appear on the Online Store tab. You sync them to the invoice, collect payment (or bill the client), then produce.

Everything stays attached to one order — not a separate storefront builder in the sidebar.

Before you enable the store

Set up the catalog and design on the order first. Buyers only see what you put on that order.

Products, sizes, and colors

  1. Open the order → Invoice tab.
  2. Add a line item for each product option buyers should choose (for example one line per size, or per size + color).
  3. Fill in title, size, color, quantity, and rate as you normally would.

Those invoice lines become the product list on the public store. If there are no invoice lines, buyers see “no products available.”

Tip: Use clear titles (e.g. “Unisex Tee — Adult Large / Black”) so the store dropdown is easy to scan.

Upload the design (artwork)

  1. Open the same order → Artwork tab.
  2. Upload or attach the design(s) you want buyers to see.
  3. Use artwork that has a preview image so the public store can show a Design gallery.

The storefront displays those previews next to the product picker. Multiple artworks on the order show as additional design thumbnails.

  1. Open the order → Online Store tab.
  2. Turn Store enabled to On.
  3. Copy the Public link and send it to your client (or post it for buyers).

Notes:

  • When the store is Off, the public link stops working.
  • Regenerate link creates a new URL and immediately invalidates the old one — use this if a link was shared by mistake.

Set a closing date

Under the public link, use Stop taking orders after:

  1. Pick the last calendar day new submissions should be accepted.
  2. Click Save closing date.
  3. Leave the date empty if you want the store open indefinitely.

After that date passes:

  • The public store rejects new orders until you extend the date.
  • You can still manage existing submissions and use Sync submissions to invoice.

Buyers see a “store closes …” message while the store is open, and a closed message after the deadline.

Payment collection

Choose how buyers (or your client) pay for store submissions. On the Online Store tab, under Payment collection:

Mode What happens
One invoice to client (default) You bill your client once on the order invoice. Buyers submit sizes and contact info; your client handles collecting money from them outside the app (or you invoice the organization).
Collect at checkout Buyers who choose Pay online are sent to Stripe right away. Requires Stripe under Settings → Integrations.
Email payment links after store closes After the store closes (or when you’re ready), staff email a Stripe payment link per unpaid submission, with an optional custom message. Requires Stripe.

Click Save payment collection after you change the mode.

Working with payments on submissions

On each submission you can (depending on mode and status):

  • Send payment link / Copy payment link — Stripe link for that buyer
  • Email all unpaid — bulk send when using after-close collection
  • Record payment — mark cash, check, Venmo, etc. when paid outside Stripe
  • Email customer — status updates (e.g. ready for pickup)

Paid submissions lock edit/delete so totals stay consistent.

Store upcharge (percentage markup)

Use Store upcharge when your client (or you) wants buyers to see a higher price than the invoice line rate — for example a fundraiser margin.

  1. On the Online Store tab, find Store upcharge.
  2. Enter a percent (whole number or decimal), e.g. 10 means store prices show at 110% of the invoice line rate.
  3. Click Save upcharge.

Important:

  • The upcharge applies only on the public store (and estimated totals for submissions).
  • Invoice line rates in Custom Designer stay the same — your shop cost/quote is unchanged.
  • Allowed range is 0–500%.

Example: invoice rate $20, upcharge 15% → buyers see $23 each.

Fields to collect

Configure the contact / custom form buyers fill out:

  1. Under Fields to collect, add or edit rows (Key, Label, Type, Required).
  2. Use Dropdown type for fixed choices (one option per line).
  3. Drag to reorder. Click Save fields.

Defaults typically cover name, email, and phone. Keys must start with a letter and may include letters, numbers, and underscores.

What buyers experience

On the public link, buyers typically:

  1. See the design gallery and order title.
  2. Pick a product (invoice line — size/color).
  3. Choose quantity and add to cart.
  4. Enter the fields you configured.
  5. Choose pickup or shipping (shipping cost may be added after fulfillment).
  6. Submit — and pay online immediately if you chose Collect at checkout.

Managing submissions

The Submissions list on the Online Store tab shows every buyer order: contact fields, items, qty, estimated totals, and payment status.

Common actions:

Action When to use
Sync submissions to invoice Roll buyer quantities into the order invoice for production/billing
Export CSV Spreadsheet of filtered submissions
Edit / Edit items Fix contact info or line items (not for paid submissions)
Delete Remove a bad submission (not when paid)

Filter by search or payment status (Paid / Not paid) before exporting or emailing.

Suggested workflow for a campaign

  1. Create the order and client.
  2. Add invoice lines for every size/color option and set rates.
  3. Upload artwork on the Artwork tab.
  4. Open Online Store → enable the store → copy the link.
  5. Set closing date, payment collection, upcharge, and fields.
  6. Share the link; watch submissions come in.
  7. After the close date (or when ready), sync to invoice, send payment links or invoice the client, then produce.

Tips

  • Close intake before you lock sizes for production.
  • Use one online store per campaign/order so reconciliation stays simple.
  • Regenerate the link if it was posted publicly by mistake.
  • Pair after-close payment links with a clear custom message (due date, pickup info).
  • If Stripe options are disabled, connect Stripe under Settings → Integrations.
